Field Scheduling (Pamela and Yancey Parks)

Field Scheduling

At the outset of each season and after teams have been formed the first question is: what do I do next? The answer: schedule practices!  This will also be one of the first questions parents ask: “when are my practices and when are my games?”  Please read below for practice schedule rules and procedures.  

Coaches will be granted access to a shared google sheet and can create their team's practice schedule by reserving fields for the days/times that work best for the team. (you may need to create a gmail account if you do not have one).  

The scheduling tool is used to schedule practices from April - June. (For the month of July you may schedule practices if you anticipate you will be going to Nationals - Spring/Summer season Only)


Scheduling Rules and Procedures - Spring Summer Only

  1. Go into the Field Scheduling tool (Google Shared Sheet) and request access.  This is a living document that you can make changes to during the season if you need to reschedule games or practices.
  2. Schedule practices (up to 2x/week) through April in 30 min intervals (Team Name ie. 10U Sting).
    1. We need to wait to til the Coaches League (all 10U and up teams are required to attend) meeting usually scheduled for the 2nd week of April to receive Game schedules (so we don’t double book fields).
    2. Once games have been scheduled from all teams you can then schedule your practices for the remainder of the season.
  3. Once League home games have been set after the League Coaches Meeting.  You may complete your schedule by entering games first and then practices in each monthly tab.  You will want to avoid scheduling practices for game days until all coaches have entered in their home game schedules.  Home games always take priority over practice for Pamela fields.  Home games should be entered in the following format: Team Name Game (ie. 10U Sting Game).
  4. You will then need to go to the Umpire Schedule tab (10U and up) and enter game data (Date, Location, Team, Time, and Time) and your team name and contact information (Team, Contact, and Cell Phone).
    1. You do not need to worry about putting in order (that will be sorted automatically).  Simply just list your teams home games underneath the last entry.
  5. Once all teams 8U and up have entered in their schedules you can finish scheduling your practices for the remainder of the season.
  6. Once you have completed your schedule you will need to enter into SportEngine to notify parents/players of practice and game schedule.

Note:   It is critical that you enter this information as quickly as possible as the schedules will need to be submitted to the City of Edina, other coaches, Umpires, and Parents.

Note:  Just hot times are listed in the scheduling sheet.  Practices through May Monday-Friday cannot be schedule any earlier than 6:00 due to EHS Softball team practices and games.  Weekends are open for scheduling anytime just hot times are listed.

Note: 8U teams should consider Yancey Park as a first choice when scheduling.

Note: All 8U games are 8 consecutive weeks with no umpires  last 2 weeks are double headers.

  2. Schedule practices (up to 2x/week) through September in 30 min intervals (Team Name ie. 10U Sting).
  3. Once all teams 8U and up have entered in their schedules you can finish scheduling your practices for the remainder of the season.
  4. Once you have completed your schedule you will need to enter into SportEngine to notify parents/players of practice and game schedule.

Note:   It is critical that you enter this information as quickly as possible as the schedules will need to be submitted to the City of Edina, other coaches, and Parents.

Note:  Just hot times are listed in the scheduling sheet.  Weekends are open for scheduling anytime with the exception of Pamela Park field #2 - just hot times are listed.

Note:  8U teams may consider Yancey Park (or other fields that are available in the scheduling tool) as a choice when scheduling.
